Project Governance Process

Projects first need to be submitted via the OneIT Project Form. This form captures a brief description of the project, impacted ITS departments, and information needed to determine the project classification. 

Project Classification categorizes a project's attributes which helps assess the project's scale, complexity, and potential changes to ensure that effective planning and execution happens throughout the Governance Process. Classifications will be categorized as High, Moderate, or Low. Classification levels are dependent on the highest tiered attribute.

The Project Actions Matrix will help you determine what actions are required to move the project through the Governance process. The process is meant to allow for low classification projects to easily move through the process, while high classification projects will require additional checks to proceed. 

The Project Governance Process is a five-phase process that will guide you through the various stages in the Governance Process. The five phases in the process are: Pre-Initiation, Initiation, Planning, Implementation, and Closeout. 

PHASE 1: PRE-INITIATION

This phase involves refining project ideas for formal consideration through brainstorming, strategic planning sessions, and submission of the project via the OneIT Project Form

PHASE 2: INITIATION

The Initiation Phase marks the formal beginning of the project life cycle, transforming an approved idea into a proposal with defined objectives and completing a review for technical sufficiency.

PHASE 3: PLANNING

The Planning phase focuses on developing a detailed Project Plan that defines the project's scope, schedule, and communication strategies. Projects are formally prioritized during this phase. 

PHASE 4: IMPLEMENTATION

This phase involves executing the tasks and activities defined in the approved Project Plan, coordinating the project team's efforts, and tracking the project's progress.

PHASE 5: CLOSEOUT

The closing phase concludes all project activities, formally establishes the project as complete by obtaining acceptance of all deliverables, and transitions the finished product to operational support.
