OneIT leaders held a retreat over the summer to discuss and test a proposed governance process.
To recap where we are at with governance, the proposed structure includes:
- Domains (advisory groups): raise and collect issues in the specific area they are responsible for, analyze the issues, and make recommendations. Members are subject matter experts, and assigned leader/facilitator.
- Existing domains are Academic (ATAC), Research/Informatics, and Security.
- Will likely add domains for Infrastructure and Architecture.
- IT Strategy Group: receives recommendations and aligns strategies across domains, prioritizes IT efforts, and develops roadmaps and strategic plans. Members are primarily domain leaders.
- IT Operations Group: handles day-to-day coordination and change-management and ensures requests are managed by appropriate groups. Membership is primarily IT leaders.
The goals of governance are to: improve communication and visibility of IT project and services, provide clarity on IT decision-making, align investments of money and time with strategy, minimize risk, and broaden input from the campus community regarding strategic direction and priorities.
IT leaders tested the governance process by running through several scenarios—for example, a request to purchase new software, or to make changes to a service. A key element of the exercise was thinking through which groups should be engaged in each request, for communication or to make a decision.
Retreat participants expressed general support for the process. We consider this a first step and know it will evolve over time, especially as the university’s governance process unfolds. The IT governance project team will use feedback from the retreat to revise the model and develop implementation plans.
